HOP Studies App Privacy Policy
This Privacy Policy describes how HOP Tech ("HOP Tech", "we", "us", or "our") collects, uses, shares, retains, and protects information in connection with the HOP Studies mobile and web application (the "App"). HOP Studies is a clinical research application used by researchers to manage study sessions and sync study data.

Information We Collect
- Researcher account details such as email, name, role, and authentication identifiers.
- Study metadata including study, participant, session, activity, annotation, questionnaire, and device metadata.
- Wearable and sensor data collected during study sessions, such as heart-rate, motion, electrodermal activity, device status, and related timestamps, where configured by a study.
- Questionnaire responses, notes, annotations, and session quality metadata captured by researchers.
- Technical data such as app version, device and platform information, logs, diagnostics, and crash/support information.
- Google Sign-In account identifiers when a user chooses Google authentication.
How We Use Information
- Authenticate users and protect accounts.
- Provide researcher workflows within the App.
- Collect, sync, review, and export study-session data.
- Maintain security, auditability, reliability, support, and regulatory compliance.
How We Share Information
HOP Tech does not sell personal data. We share data only with:
- Authorized study teams for the specific study in question.
- Service providers needed to operate the App and its backend.
- Authentication providers (e.g., Google Sign-In) used by the App.
- Cloud hosting and storage providers.
- Authorities or parties where legally required.
Secure Handling
- Data is transmitted over encrypted connections (TLS).
- Access is limited by authenticated accounts and role/study-based permissions.
- Production infrastructure uses access controls and operational safeguards.
Data Retention
Study data is retained for as long as needed to provide the research service, support active studies, satisfy contractual, research, and legal obligations, and maintain auditability. Retention periods may vary by study protocol, institutional requirements, or customer agreement. When data is no longer required, it is deleted or de-identified according to applicable study, customer, and legal requirements.
Data Deletion
Users or study administrators can request deletion of their data by emailing admin@hoptech.ca. Requests should include:
- The account email associated with the data.
- The study name or code, if applicable.
- Enough detail to identify the data to be deleted.
HOP Tech will verify authorization before deleting study data. Some data may need to be retained when required for legal, contractual, safety, audit, backup, or research-integrity obligations.
Children and Research Participants
HOP Studies is intended for use by authorized researchers and is not directed to children. Where research participants (including minors) contribute data through a study, the data is handled under the governing study protocol, consent forms, and institutional or ethics committee requirements applicable to that study. HOP Tech processes such data on behalf of the responsible study team.
International Processing
HOP Tech is based in Bromont, Canada. Data may be processed and stored in Canada or in other jurisdictions where our service providers operate. Where required, we put in place appropriate safeguards for cross-border transfers consistent with applicable law and customer agreements.
Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be reflected by updating the "Last updated" date above. Material changes will be communicated through the App or by other reasonable means.
